We’re looking for a talented, detail-oriented Administrative Assistant, Hybrid - Pleasant Grove, UT, to join our team. Under the direction of the Brokerage Assistant Team Lead, this role will provide advanced administrative and clerical support to Account Managers, Brokers, and departmental operations. This role goes beyond routine tasks by leveraging a deep knowledge base and professional experience to guide peers, assist with training, participate in special projects, and help identify and implement process improvements. 

Key Responsibilities 

  • Licensing, Compliance, and Administrative Support 

  • Obtain and maintain a Property and Casualty License. 

  • Manage the Assistants and group email inboxes promptly and accurately. 

  • Provide phone coverage and frontline communication support for the organization. 

  • Prepare and distribute quotes, finance agreements, Accord applications, bind requests, invoices, and state affidavits. 

  • Conduct policy checks, renewal notifications, and request loss runs. 

  • Document and maintain transparency of all transactions within AMS and all systems used by  

  • Veracity. 

  • Ensure proper documents are prepared, received, and reviewed for submission. 

  • Assist in internal and external surplus lines audits by verifying transactions and  

  • documents. 

  • Support Sales teams with service items as needed. 

  • Provide backup support for administrative duties, including mail handling and general office  

  • support. 

  • Uphold confidentiality, professionalism, and a strong customer service orientation at all  

  • times.     

  • Maintain regular and timely attendance. 

  • Required to perform other duties as requested, directed, or assigned. 

Requirements and Qualifications 

  • Solid understanding of insurance administrative processes and AMS operations. 

  • Proven ability to lead or support research and project-based tasks. 

  • Strong mentoring and team support capabilities. 

  • Detail-oriented with strong follow-up and time management. 

  • Proficient in computer systems, email platforms, and document management tools. 

  • Professional demeanor with excellent interpersonal and customer service skills. 

  • Dependable, accountable, and consistent in task execution. 

  • High School diploma required 

  • 2 years' experience in the surplus lines industry o OR a valid P&C insurance license plus 12+ months of CSR or administrative support experience 2 years’ experience in insurance industry 

  • Work experience in administration or accounting is preferred. 

  • Experience using Word, Excel, and Outlook is preferred.

Compensation Range: $18/hr - $23/hr
